Fabric & Trim Booking Sheet

Put this tool on your own site

Paste this where you want the sheet to appear. It works on any site — WordPress, Squarespace, Webflow, Ghost or plain HTML — and needs no JavaScript of yours. Readers get the same tool a visitor here gets without signing in, and a link back for the rest of it.

See what it looks like

A minimum changes what you are charged, not what you consume. The longest-lead item sets the booking date for the whole order, however comfortable the rest of the sheet looks.

Order

What the booking has to cover

Shipped quantity, before samples

Size sets, PP and photo samples cut from bulk material

Schedule

Suppliers quote calendar days; the factory plans in working days

From today to the day the fabric must be on the cutting table

Used to convert the plan into the calendar the supplier works to

Lab dips, strike-offs, counter samples and the PO itself. The supplier clock starts after this

Inspection, shade sorting and re-supply of a short or rejected lot

Minimums & Excess

How the minimum is charged, and what happens to what is left

Yardage is a floor. Boxed and rolled trims step up in whole lots

The share of over-bought material that a later order in the same colour genuinely consumes

Materials to Book

One row per material per colourway. Minimums are almost always quoted per colour, so a six-colour program books six minimums, not one - entering the program as a single row is the fastest way to hide the over-buy.

How to read this sheet

The sheet books quantities and dates; it does not price them. Unit price is flat, so the step down in rate that a supplier offers at the next minimum is not modelled - when the excess looks large, the question of whether a bigger booking is cheaper per unit has to be asked outside this sheet. The minimum rule is one setting for the whole sheet, so a program that mixes yardage floors with boxed lot sizes needs two passes, one per rule. Minimums are quoted per colour and often per size, and this tool has no way to know your colourway split: it counts one minimum per row, so the split has to be in the rows or the over-buy is understated. Consumption is taken as given rather than derived from a marker, and it carries no allowance for fabric width, shrinkage or shade-lot rejection beyond the wastage percentage you type. Lead time is a single figure per item and must already include production, transit, customs clearance and inland movement; it is treated as continuous calendar time, so a factory shutdown, a holiday week or a peak-season port backlog inside that window is not visible here. Payment terms are ignored - a supplier who will not cut until the letter of credit is opened has a longer real lead time than the one quoted. The recovery rate on excess is a judgement, not a market price; material with a buyer logo on it recovers nothing regardless of what is typed there.
